Otherwise you combine documents from the IRS approved list (national ID card, birth certificate, visa, and others) to prove both identity and foreign status.

There are three ways to submit:

  • Mail Form W-7, your return, and documents to the IRS ITIN Operations unit in Austin, Texas.
  • Use a Certifying Acceptance Agent (CAA), who can verify your documents so you do not have to mail originals like your passport.
  • Book an appointment at an IRS Taxpayer Assistance Center for in person document review.

Renewals: check before you file

ITINs expire if they go unused. If your ITIN was not used on a federal return for three consecutive years, it has expired and must be renewed before your next return can be fully processed. Renewal uses the same Form W-7 (checked as a renewal) with current identity documents. There is no IRS fee to apply or renew. The IRS recommends renewing at least 45 days before you plan to file.

Timing matters (and June is a smart time)

The IRS says to allow about 7 weeks for an ITIN decision, stretching to 9 to 11 weeks during the January 15 to April 30 peak or if you apply from abroad. Your refund cannot be issued until the ITIN exists, so applying during the spring crunch can add months of waiting. Applying or renewing now, in the summer, means your number is ready before next filing season. If you are on extension this year, remember the October 15, 2026 deadline, and self employed filers have the next quarterly estimated payment due June 15, 2026.
